Payroll Specialist

POSITION OVERVIEW 

This position is responsible for the administration and coordination of the Payroll under the direction of the Controller.  The position administers the preparation, distribution, and reporting process for Payroll.  

 

FUNCTIONS OF THE JOB

 

Payroll Administration: Responsible for the administration of the Payroll function.

  • Compiles payroll data such as garnishments, vacation and sick/personal time, insurance and 401k deductions consistent with the guidelines of Company policies, state and federal regulations and the Union Agreement, as amended.
  • Calculates daily field service reports, time tickets, commissions, and mileage to input into ADP.
  • Inputs weekly into ADP all data necessary to generate an accurate payroll transmittal for hours worked, expenses, commissions, and all other forms of compensation as documented in the Corporation's personnel files.
  • Receives and verifies weekly the output of the automated payroll system and ensure that all. output is reconciled with the payroll activity for the week.
  • Records and maintains all employee files in the ADP database and in the paper files.
  • Prepares weekly/monthly recap reports and monthly union reports.

 

 

Compliance Administration: Ensures that State and Federal Labor and Employment law is followed to minimize Corporate exposure to liability

  • Provides guidance to managers regarding, and remains appraised of, current legislative conditions and changes (Workers Compensation, ERISA, ADEA, COBRA, FLSA, FMLA, OSHA, etc.)
  • Ensure that document retention and policy for Payroll and Benefits is compliant with State and Federal laws.
  • Completes all required governmental compliance reporting
  • Administers the Workmen's Compensation claims process and coordinates with employees and the various Workmen's Compensation agencies and carriers.
  • Works with all new hires to complete new hire paperwork, review company policies, and background checks.
  • Assist and document employee termination process to ensure compliance with Company policy and State and Federal Law
  • Examines employee files to answer inquiries and provide information for personnel requests
  • Maintains a favorable working relationship with all employees to promote a cooperative and harmonious working environment in order to facilitate positive employee morale, productivity and continued improvement.

 

 

POSITION QUALIFICATION REQUIREMENTS   

 Education:

  • Associate's degree in related discipline or equivalent work experience.

 Experience:

  • Three (3) years Payroll and Benefits experience. Background in multi-state and multi-company environments is preferred.
  • 3rd party Payroll or ADP processing and report writing.
